Information for Presenters

Posters

Mounting:  Thursday, 3:00 – 5:00 PM

Poster Session:  Thursday, 6:30 – 8:00 PM

Teardown:  Thursday, 8:00 – 8:30 PM 

Poster viewing and discussion with authors will take place on Thursday, April 4, from 6:30 to 8:00 p.m. during the poster session and reception. Authors are expected to be at their posters during this time.

Easels & Display

  • Posters should be no larger than 3′ x 5′, regardless of easel size.
  • Forty (40) posters can remain in place for the duration of the meeting. When acceptance notifications go out, you can volunteer to leave your poster up. This opportunity will be reserved on a first-come, first-served basis. All other posters must be removed on Thursday evening.
  • Those who have volunteered to leave their posters up will be contacted by email with more information before the conference.

Mounting

You will find your poster number in the program and a corresponding poster board for mounting in the Atrium 2. You will receive the floor plan at check-in.

Posters must be mounted for display on Thursday, April 4, 2019, from 3:00 to 5:00 p.m. Pushpins will be available.

Teardown

Thursday

Posters coming down on Thursday must be removed by 8:30 p.m.

Awards

Judges will evaluate poster finalists (selected before the conference) for Excellence in Medical Education Awards during the Thursday poster session. The awardees will be announced at the 8:00 a.m. session on Friday, April 5. See the awards page for more information.

Oral Abstract Presentations

The 2019 NEGEA abstract format includes a 10-minute podium presentation by no more than two presenters/authors, followed by an 8-minute question-and-answer period. Typically, four to five oral abstract presentations take place each concurrent session. Session moderators will ensure that each presenter adheres to the 18-minute limit.

Audiovisual Requirements

  • All rooms will be equipped with a PC laptop.
  • Please bring your presentation either on a USB drive or on the laptop you will use to project it.
  • If you are presenting from your own laptop, an HDMI connection provides better quality, but VGA also can be used. If your laptop has neither, you will need to supply a display adapter. Please bring your own cables.

Audiovisual assistance will be available if needed.

Workshops and Small Group Discussions

Each workshop and small group discussion will be 75 minutes long. Presentations should be loaded onto a flash drive and brought to the room shortly before the official start time of the session. 

Rooms accommodate 30 to 35 seats. Some rooms will be set up classroom style (for other sessions) and some will have cluster-style seating.

  • Please bring your presentation either on a USB drive or on the laptop you will use to project it.
  • If you are presenting from your own laptop, an HDMI connection provides better quality, but VGA also can be used. If your laptop has neither, you will need to supply a display adapter. Please bring your own cables.

Audiovisual assistance will be available if needed.

Use UPHS-Guest for internet access.

1. Go to Wi-Fi settings on your device and connect to the UPHS-Guest network. 

2. Depending on your device, you will either be prompted to register or to open a browser window. 

3. Enter your identification information as directed and agree to the terms to connect.
